Dear Clients
As a boutique service with limited amount, your appointments are very important to the team here at HAKUKI Camping Car and Gear Rental Service Company. We take your appointment as a verbal contract and the time slot is reserved especially for you. Once confirmed, we may have to turn away other guests. For this reason, your booking is subject to the following Terms & Conditions.
★To secure a booking or package, a full payment is generally made by online payment link. In case of a no-show or late cancellation.
Cancellation Policy
***Requests made after 6:00 PM will be considered a cancellation for the next day. Payment you made before becomes non-refundable after departure, and you are responsible for any damage of the rental item(s).
〔Reserved Car〕
2 days before or on the day --- 100%
3-6 days before --- 50%
7-29 days before --- 30%
30 days before --- Full refund or reschedule once within 6 months
〔Reserved Gear〕
2 days before or on the day --- 100%
3-6 days before --- 50%
7-29 days before --- 30% or reschedule once within 6 months
30 days before --- Full refund or reschedule once within 6 months
〔Late Arrival or No Show〕
If you are more than 30 minutes late without prior notice, it will be considered a “No Show” and no refund will be issued. If you anticipate a delay, please inform us in advance via Instagram DM and we will do our best to accommodate.
Term and Conditions
1. Renters must read and comply with our "Terms and Conditions."
2. Renters are required to present valid identification documents such as a passport (a photocopy will be kept for record purposes).
3. Renters must agree to the rental agreement and pay all relevant rental and transportation fees (if applicable) before receiving the car and equipment.
4. Renters must not sublet, lend, or sell any car or equipment to third parties. No removal, addition, or modification of any installed equipment or accessories is permitted. The renter will bear all consequences arising from such actions.
5. Renters agree to follow all campground rules and regulations.
6. Renters must inform the company promptly if their contact information changes to ensure proper communication.
7. If the renter violates the "Terms and Conditions," the company reserves the right to terminate the rental service immediately, retrieve all rented items, and pursue any necessary legal actions.
〔Car〕
1. Renters must hold a valid driver’s license with at least one year of driving experience.
2. Renters agree to comply with all Japanese traffic laws and regulations.
3. Eating and drinking are strictly prohibited inside the car.
〔Returning Car and Equipment〕
1. Early pickup (before 8:00 AM) or late return (after 8:00 PM) will incur additional charges.
2. If a renter is more than 30 minutes late without prior notice, it will be considered a “No Show” or late return, and no refund or additional fees may apply.
3. If you anticipate a delay, please notify us in advance via Instagram DM.
4. If the renter wishes to extend the rental, they must apply in advance. Extensions are subject to availability.
5. Renters are expected to clean the campervan and equipment before returning them.
6. Rental prices do not include fuel, traffic fines, or ETC (toll) charges. These will be settled upon return.
7. Please return the vehicle with a full tank of fuel. If not, refueling and service charges will apply.
〔Loss or Damage to Equipment〕
1.Renters are responsible for any loss, theft, or damage of the car or equipment and agree to compensate accordingly.
2.Renters are liable for any damage, fines, or traffic accidents incurred during the rental period.
3.In case of any issues or irregularities with the car or equipment, renters must stop using them immediately and notify the company.
4.Open flames are not allowed inside the tent except for gas stoves, kerosene heaters, and wood stoves provided by the company.
5.Open flames (including gas stoves) are strictly prohibited inside the car.
6.Smoking is strictly prohibited inside both the tent and the car.
